TriAthy Privacy Notice
Version 2 · Effective date: 25 July 2026
TriAthy Limited (“TriAthy”, “we”) organises the TriAthy triathlon and SwimAthy events at Athy, Co. Kildare. This notice explains how we handle your personal information when you enter our events, use our websites (triathy.com, triathy.ie, register.triathy.ie, swimathy.com, register.swimathy.com) or deal with us. 1 · The information we collect
(a) When you enter an event from 25 July 2026: your name, email address, date of birth, gender category, nationality, mobile number, postal address, club (if given), estimated swim time, whether it’s your first triathlon, how you heard about us, and the race and extras you choose. Emergency contact: the name, relationship and phone number of the contact you nominate (please make sure they know you’ve given us their details).
(b) Under-18 entries: the parent/guardian’s name and consent.
(c) Payment: payments are processed by Stripe on their secure pages — your card details never touch our servers. We hold payment references and amounts, not card numbers.
(d) When you use our websites: analytics and cookie data as described in section 9.
(e) When you contact us: your correspondence at info@triathy.com.
(f) Entries made through Active Europe prior to 25 July 2026: if you entered TriAthy 2027 through our previous entry provider (Active Europe / Active.com), we received your entry record from them when we moved to our own entry system, and your entry continues under this notice.
2 · Why we use it (and the legal bases)
(a) To run your entry and the event — processing your registration, payment, race pack, timing, results, safety briefings and race-week communications: performance of our contract with you, and vital interests in a medical emergency (emergency contact details).
(b) Essential race communications — entry confirmation, race-week instructions, online check-in, safety messages, and up to three short reminder emails if you begin but don’t complete an entry (you can opt out at any time): performance of contract and our legitimate interest in running the event safely and completing entries begun.
(c) Marketing — TriAthy news, offers and future events by email and SMS, only where you left the marketing box ticked at entry (or otherwise agreed), relying on the soft opt-in for our own similar events; every message carries a one-click unsubscribe. We never send marketing to under-18s. Past participants may be contacted about returning to our events on the same basis.
(d) Goodwill and loyalty offers — using your past participation (event and race entered) to calculate discounts we offer you.
(e) Published lists and results — see section 3 below.
3 · Start lists, entrant list and results
(a) Start lists, entrant list and results. Publishing who is taking part and how they finished is an integral part of staging an open sporting event. When you enter, your name, club (if given) and race category will appear on the published entrants list and start lists before the event, and in live tracking and results during and after it. We do this as part of performing our contract with you and in our legitimate interest in running a transparent, open competition — it applies to all entrants and is not subject to an opt-out at entry.
If exceptional circumstances mean public listing would put you at risk (for example, personal safety concerns), contact us at info@triathy.com and we will suppress your entry from pre-race published lists. Race results may still be published in accordance with the rules of the sport.
(b) Under-18s. Under-18s are entered by a parent or guardian, whose acceptance of the entry terms covers the young person’s appearance on entrants lists, start lists and results on the same basis.
4 · How long we keep it
Entry records form part of the sporting record of the event and are retained accordingly for a period of 7 years.
Results are retained indefinitely as the event’s sporting archive.
Incomplete (pending) entries are purged quarterly. Correspondence is kept as long as needed to handle matters that may arise from time to time.
Marketing preferences are kept until you unsubscribe or we delete inactive contacts.
5 · Who we share it with
Service providers who help us run the event, under contracts protecting your data: Stripe (payments), Postmark (email delivery), our timing partner (name, race, bib and results — for official timing), Triathlon Ireland (results, rankings and race-licence verification as the national governing body), medical and safety providers on race day, and our website/hosting providers.
We do not sell your data and no third party may use it for their own marketing.
6 · International transfers
Some providers (for example Stripe, Google, Postmark) process data outside of the EEA; where they do, transfers rely on adequacy decisions or Standard Contractual Clauses.
7 · Photography and media
TriAthy is a public sporting event: photography and filming take place throughout, and images of participants may appear in our galleries, social channels and press coverage as part of the event’s legitimate promotion. If you’d like a specific image taken down, contact info@triathy.com.
8 · Your rights
You may access, correct, delete, or object to our use of your data, and where processing rests on consent, withdraw it — write to info@triathy.com.
You can object to the published-lists processing as described in section 3. You may complain to the Data Protection Commission (dataprotection.ie).
9 · Cookies and analytics
Our sites use cookies via the consent banner you see on first visit (you can change your choices there at any time), and Google Analytics 4 to understand how the sites and entry journey are used — including measuring entries completed. IP-level data is handled by Google under its own safeguards. Declining analytics cookies does not affect your entry.
10 · Changes
We’ll post any updates to this notice here, with a new version number and effective date.
